Use a unique number for each invoice. Issuing different bills under the same number makes payment matching and future searches more difficult.

Taxes and shipping charges are excluded to keep this example simple. In a real transaction, apply the components relevant to the transaction and applicable requirements.

The calculation starts with IDR 3,000,000, less a discount of IDR 150,000, giving an invoice total of IDR 2,850,000. After verifying a payment of IDR 1,000,000, the remaining amount payable is IDR 1,850,000.

Provide the correct business payment details and ask the customer to include the invoice number in the transfer reference. A deposit reduces the balance due; it does not change the agreed service price.

When Should You Send an Invoice?

Send an invoice when payment becomes billable under your agreement. Depending on the transaction, that may be:

  • Before work begins: when requesting a deposit.

  • After shipment or receipt of goods: when billing depends on delivery or acceptance.

  • After work is approved: for services requiring customer review.

  • At project milestones: for progress payments.

  • On scheduled dates: for monthly or other periodic services.

For business customers, also confirm the billing email address and required supporting documents. Even an accurate invoice can be delayed if it reaches someone who does not handle payments.
